Our client, one of the major actors in trading houses in Japan, is looking for an Administrative Coordinator to join their office in Amsterdam.


・ Serve as liaison between employees/managers, internal departments, and external parties, including vendors, customers, and external advisors.

・ Handle bookkeeping on the internal accounting system.

・ Create business documents as required, including contracts, invoices, etc.

・ Control shipment schedule and facilitate logistics for cargo transportation.

・ Coordinate process/delivery orders, and collect relevant evidence for stock management.

・ Prepare related evidence and coordinate with relevant departments for payments.

・ Assist with monthly VAT declaration and coordinate with external advisors.

・ Prepare monthly business reports including payment performance control.

・ Assist with special projects as necessary, such as system development, workflow improvements, budget preparation, and internal/external audits.


・ A University degree (minimum Bachelor) from a recognized Institution of secondary studies with 2+ years of working experience in the administrative field,

・ Language skills: Japanese proficiency is highly preferred, Dutch and German are an advantage

・ Experience in the international trading field with knowledge of Incoterms

・ Strong understanding of accounting theory will be an advantage

・ Ability to work cooperatively and collaboratively with all levels of employees, management, and external agencies

・ Excellent communication and interpersonal skills

・ Ability to act and operate independently with minimal supervision

・ Proficienct with e-mail and Microsoft Office applications

・ Highly detail-oriented professional with excellent organizational skills and the ability to meet assigned deadlines
