Document Management Specialist

Octagon Professionals is one of the main service providers supporting the European Space Agency. We are expanding our documentation support team at ESTEC in Noordwijk and are looking for structured, detail-oriented professionals who thrive in an international, highly technical environment.

Role Summary

As the Senior Documentalist you will manage unclassified and export-controlled documentation for ESA’s Navigation Directorate. You will ensure compliance with ESA documentation policies, access controls, and records management standards, providing crucial support to technical and programmatic teams. This role combines operational precision, organizational expertise, and user support within a dynamic, international technical environment.

Key Responsibilities

• Process incoming and outgoing unclassified documentation.
• Identify and ensure compliant handling of export-controlled information.
• Operate Eclipse, eRID, and DCCM systems.
• Manage metadata and repository structuring.
• Support technical and programmatic reviews.
• Control access for internal and external users.
• Manage archiving and records lifecycle.
• Provide functional support to users.

Education

• Bachelor’s degree or equivalent in STEM or business-related disciplines.

Experience

• Minimum 4 years in document management or configuration management.
• Experience with enterprise DMS platforms (ESA tools an advantage).
• Strong organizational, communication, and teamwork skills.

Security & Eligibility

• EU Member State nationality (mandatory).
• Eligibility to handle export-controlled information.
• Completion of ESA STC / Export Control training.
